POLICIES & PROCEDURES

JUNIOR TENNIS PROGRAMS PROCEDURES

GROUPS
The Blackburn Tennis & Swim camps will be divided by age & skill level for all activities related to the tennis portion our camps.  Therefore, the actual age breakdown will vary with the age distribution per week.  There will also be other camp activities where the entire camp will participate at once.  We can accommodate individual requests to have children in the same group. You will be asked to provide this information on your registration form.

SIGN IN / SIGN OUT
You will be asked to sign-in every morning and sign-out every evening.  You will also be asked to provide a list of all individuals who will/might drop off or pick up your child(ren) throughout the week.

We can also allow a child to walk to and from camp with a signed permission from the parents.

LUNCHES & SNACKS
New this year, the Blackburn Tennis Club will be providing lunches every day of the week.  Subway, Boston Pizza, BBQ and much more will be provided.

If your child will not be eating our lunch, please notify us and send a lunch bag with them.

If your child is unable to eat our lunch for religious or other reasons please send their daily lunch with them.

We ask every parent to prepare a morning and an afternoon snack for their child(ren) for the 5 days of the week.

BEARBROOK OUTDOOR POOL
Safety is our biggest concern at the Blackburn Tennis Club.  Therefore, children 7 years old and under are obligated to wear a life jacket during our visits at the Bearbrook Pool.  All other children must take part in a swim test before receiving permission to swim on their own.  All children who do not pass the swim test will be forced to wear a life jacket.

Throughout our visits to the pool, all counsellors will be in the pool.  Regular lifeguards from the Bearbrook Pool will also be supervising our swim time.  This is a policy of the Bearbrook Outdoor Pool as a City Of Ottawa Outdoor Pool.

RATIOS OF CAMPERS TO COUNSELORS
In order to ensure maximum safety, our ratio of campers to counsellors is 8:1.
For the Pool, our ratio of campers to counsellors is 6:1 (ages 7 & under)
For the Pool, our ratio of campers to counsellors is 8:1 (ages 8 & over)

CANCELATION & REFUND
All cancelations will be subject to a $25 per week cancelation fee.

In order to qualify for a full refund, all cancelations must be sent via email and must come 3 weeks prior to the first day of camps in which the child(ren) in question is/are registered.  This excludes the cancelation fee.  For example if a camp is set to begin on July 30th and we are notified of the cancelation as of July 9th, a full refund would be issued minus the cancellation fee.

If we receive a cancelation with less than 3 weeks notice before a camp starts, we will try to fill your child(ren)’s spot. If it gets filled, we will add a credit of 50% to your account which can be used on future camps.  In the case where the spot remains vacant, no credit will be issued.

If we receive less than 1 week’s notice before a camp is set to begin, there will be no refund.

There will be no refunds once the week of camps has begun.

CHANGING RESTRICTIONS
Changing the week of camp that your child is attending is not a problem and will not be subject to any fees, provided that the camp has at least 21 days notice on any changes being made, provided that there are still spaces available in the desired week. If less than 21 days notice is given we will do our best to fill your child’s spot but you may be subject to a $25 administration fee.

RAIN DAYS
When it rains during any of our camps, we move everyone inside and play sports and participate in a wide range of activities.
